Job Purpose:

Client Services Administrators are responsible for being the initial face of The Employee Resilience Company Ltd.

You will be responding to calls, emails and administrative requests from customers and clients requiring access to our range of EAP services and booking of Client Counselling appointments.

You will be responsible for managing the administrative email inbox, in addition to your own email queries. You will provide administrative support as directed by the Administration Manger and the Senior Management Team.

The role will involve supporting the preparation of reports for customer organisations and ensuring that the clinical database is accurate and updated for each relevant client contact.

You will be working in a multi-disciplinary team environment and will provide clients and customer organisations with a supportive, professional and positive customer experience.

As a Client Service Administrator, you will be actively engaging with our clients to ensure they receive a service that exceeds their expectations.

Principal Responsibilities:

  • As Client Services Administrator you will support the Administration Manager in the overall management of administration systems and processes.
  • Monitoring the Client Services inbox
  • Booking of meetings
  • Ensuring the database is accurate with current client details
  • Booking client appointments
  • Conducting initial calls with initial assessment in line with administrative and clinical standard operational processes to all our new clients
  • Continuous development and improvement of existing systems.
  • Create and maintain system change requests within administration systems
  • Produce correspondence and management information (reports and summaries) when required, using various databases, spreadsheets and systems.
  • Support and manage the continuous improvement of systems to address the business needs.

Skills and Competencies needed for this role

  • Experience of developing reports to extract management information from databases using a range of data mining and presentation tools.
  • Experience of strong attention to detail when using data.
  • Knowledge of Safeguarding and Confidentiality
  • Experience of listening skills would be desirable but not essential
  • Microsoft Office software experience including Excel, Word and PowerPoint
  • A proven track record of working to key performance indicators (KPIs)
  • Strong customer service experience
  • Excellent attention to detail
  • Ability to apply knowledge in a practical, commercial manner.
